You can record details of Fee Schedules and Incomes into your Tempora system. Incomes can also be imported in bulk - for assistance with this or if you are unable to complete any of the steps in this guide please use the Submit a request button at the top right of this page to contact our team for help.
- Fee Schedules relate to retainer fees, i.e. fees that occur on a regular basis.
- Income relates to ad-hoc invoices, such as charges for purchases made or charges for time spent.

Adding a Fee Schedule
- Click Admin:
- Click Timesheets > Clients > (Client name) > Fee Schedule > Add new on the menu:
Below the add new button you will see any existing Fee Schedules for this client. Click the Fee Schedule to be taken to the edit page.

Enter the following information, and click Save.
- Project & Activity – The work that the fee schedule is associated with.
- From Date & Frequency – The start date and regularity of the fee schedule.
- No of Payments & Amount – The fee amount and the number of times that it will be charged.
Adding Income
- Click Admin:
- Click Timesheets > Clients > (Client name) > Income > Add new on the menu:
Below the add new button you will see any existing income for this client. Click the income to be taken to the edit page.

Enter the following information, and click Save.
- Project & Activity – The work that the income is associated with.
- Date & Amount – The amount of income received and when it was received.
- VAT Rate % & VAT Amount – Enter the VAT Rate % and use Calc VAT to calculate the VAT Amount.

Income Page
Level 1-5 Ext. Ref.
This field allows you to enter an external reference code and click LookUp, this will select the time entry-level the reference code is attached to. This field can be left blank and the time entry level manually selected from the drop-down menus below it.
Date
This field sets the date the income is received.
Client
This field cannot be amended and is the client you are adding the income for.
Lower time entry levels (Project, Activity, Sub-Activity, Task)
You can select lower-level items in these drop-down selections, this will set the income at the defined level. This is often used to set incomes for different projects so a breakdown of the income and cost for each project can be shown on the reports.
Description
This field is used to provide a short description of the income, this is often an internal reference code.
Amount
This field sets the total value of the income.
VAT Rate %
This field sets the percentage of VAT to be added, this field can be set as 0.
VAT Amount
This field sets the amount of VAT for this income, if the VAT Rate% is 0 this can also be set as 0.
Calc VAT
Clicking this button will auto-calculate the VAT from the amount and VAT Rate %.
Delete
You can delete an existing income by selecting it from the list and clicking the delete button.
Fee Schedule Page
Lower time entry levels (project, activity, Sub-Activity, Task)
You can select lower-level items in these drop-down selections, this will set the fee schedule at the defined level. This is often used to set fee schedules for different projects so a breakdown of the fees and cost for each project can be shown on the reports.
From Date
This field sets the date when the fee schedule will start.
Frequency
This field sets how often the fee will be received, this is most frequently set to monthly.
To Date
This field sets the end date of the fee schedule and should be used when the fee frequency is once.
No Of Payments
This field sets the number of times the fee will be collected. If the frequency is set as monthly this is often set as 12 for a full year of fees.
Amount
This field sets the fee amount received for each individual fee. If this was set as 500 and the number of payments was set as 4 there would be 4 fees of 500 each.
Due end of period
This checkbox indicates the fee is due at the end of the period and is used in reports to display fees for the correct period.
